At PrintForge Studio, we take your privacy seriously. This Privacy Policy explains how we collect, use, store, and protect your personal information when you visit our Etsy shop, place an order, or interact with us. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who We Are
PrintForge Studio is a UK-based print-on-demand brand operated by Vectormoon. We sell personalised and themed products (primarily mugs, apparel, and accessories) through the Etsy marketplace. Our production partner is Printify, who handles the printing and direct shipping of orders on our behalf.
2. What Information We Collect
We only collect information necessary to process and fulfil your order. This includes:
- Name and delivery address — required for shipping your order.
- Email address — for order confirmations, shipping updates, and customer support.
- Phone number — if provided by you, used only for delivery coordination where required by couriers.
- Order details — the products you purchased, custom text or design requests, and transaction amounts.
- Payment information — we do not store your credit card or bank details. All payments are processed securely through Etsy Payments or PayPal.
- IP address and browser data — collected automatically by Etsy for fraud prevention and platform security.
3. How We Use Your Information
We use your personal data strictly for the following purposes:
- To process, print, and ship your order via our production partner (Printify).
- To communicate with you about your order status, delivery, or any issues.
- To comply with legal obligations (e.g., tax and accounting records).
- To respond to your enquiries, returns, or refund requests.
- To improve our product offerings and customer service (based on anonymised feedback).
We do not use your data for marketing emails, newsletters, or advertising unless you have explicitly opted in.
4. Sharing Your Information
We only share your data with trusted third parties essential to fulfilling your order:
- Printify — our print-on-demand production partner. They receive your name, shipping address, and order details to print and dispatch your item. Printify operates under its own Privacy Policy and Data Processing Agreement.
- Etsy, Inc. — as the marketplace platform, Etsy processes your payment and facilitates the transaction. Etsy's Privacy Policy applies to platform-level data processing.
- Shipping carriers (e.g., Royal Mail, Evri, DHL, USPS) — receive only the delivery name and address required to transport your parcel.
- Tax and accounting services — anonymised transaction data may be shared with our accountant for HMRC compliance.
We never sell your personal information to data brokers or third-party advertisers.
5. International Data Transfers
Printify operates printing facilities globally (including the US and EU). When you place an order, your shipping details may be transferred to Printify's fulfilment centre in the country closest to your delivery address. All transfers are conducted under standard contractual clauses (SCCs) approved by the UK/EU to ensure your data remains protected.
6. How Long We Keep Your Data
We retain your personal information only as long as necessary:
- Order and shipping data: retained for 6 years to comply with UK tax and accounting regulations (HMRC requirement).
- Customer communication: retained for 2 years after your last order for support reference.
- Anonymised analytics: retained indefinitely for business improvement.
After these periods, your data is securely deleted or fully anonymised.
7. Your Rights Under UK GDPR
You have the following rights regarding your personal data:
- Right to access — request a copy of the personal data we hold about you.
- Right to rectification — request corrections to inaccurate or incomplete data.
- Right to erasure ("Right to be Forgotten") — request deletion of your data where there is no compelling legal reason for us to keep it.
